Servco’s Corporate Properties Department is seeking a team member with a can-do attitude to help maintain and improve the physical character and operational functionality of our portfolio of facilities throughout Hawaii. The position will be responsible for ensuring that team members have all resources, information, and direction necessary to successfully perform their jobs.

Responsibilities:

• Create and maintain comprehensive databases for each facility with functional documentation of maintenance and improvement work, including contracts, invoices, reports, and communications for vendors and contractors
• Review and prepare approval charges from external vendors
• Monitor actual and budgeted expenditures and allocation of cost to various business units – handle financial queries from external vendors and internal departments
• Maintain accurate documentation and reporting for maintenance and repairs as required via work order and capital budgeting plans
• Assist as liaison with outside vendors, including contractors, subcontractors, and architects
• Assist departmental staff by scheduling site visits and coordinating access for new and existing vendors, and following up on proposals, contracts, and other information as requested
• Work closely with departmental and operational staff to ensure various facilities remain operational and in good repair
• Provide coordination between all affected parties and stakeholders as necessary to accomplish work
• Provide administrative support in tracking maintenance and improvement projects against schedule and budget
• Manage the administrative task, such as document and information distribution, report collation, and communication support
• Available on-call afterhours and on weekends. Respond to emergency and urgent situations if primary and secondary contacts are not available
• Performs additional job duties as requested

Requirements:

• Associate’s or bachelor’s degree
• Basic experience in project management, facilities, or construction setting
• 2-4 years of work experience in relevant field preferred
• Works well in a team setting, including internal customers and third-party vendors
• Can manage multiple high priority tasks simultaneously, while maintaining accuracy and quality
• Can work independently and meet strict deadlines with minimal supervision
• Able to work in a fast-paced, rapidly changing environment and handle multiple requests
• Able to navigate architectural and MEP (Mechanical Electrical Plumbing) plans and technical drawings preferred
• Exceptional customer service skills with internal and external customers
• Can perform well under pressure and acts with urgency
• Strong written and verbal communication skills
• Team oriented and works well in collaboration with others
• Attention to detail and can manage ambiguity
• Has a can-do attitude and self-starter
